Step 1: Choose and install an app

Two-factor authentication requires an app to be installed on your device.
If you don’t have an authenticator app already, choose one of the apps below.

IMPORTANT!

You only need one app to authenticate, If you use 2FA with Office 365 you likely already have Microsoft Authenticator set up or if you use Google Docs you likely already have Google Authenticator.
This system is compatible with any authentication app that use the OAuth 2.0 protocol, if you already have one that you love, feel free to use that.
We can however, only provide support if you are using one of the three below.

You will be required to input a new code every time you sign in, or if you do not share your device, you can choose “Remember me” to save your code for 14 days.

Administrators: Resetting 2FA for a user

Resetting 2FA

When a user gets a new phone, accidentally deletes the code from their app, or even uninstalls the app unintentionally, DON’T PANIC!

Simply head into your Administration panel, select the user and click ‘Reset 2FA’

The user will then get a new QR code to scan when they next sign in.

IMPORTANT!

Exercise extreme caution when resetting 2FA – make sure you have the correct user selected and that you are certain they need the account resetting.
This process CANNOT be undone!

Troubleshooting

I am unable to set up 2FA as the codes aren’t being accepted – or – My codes used to work but are now failing.

1. Outdated app – If your Microsoft Authenticator app is obsolete, you might face this issue. You need to update your app from
App Store
or
Google Play Store.

2. Microsoft & Google Authenticator app 2FA codes are based on time and thus require the time on your phone, PC or Mac to be in-sync with the official time.

You can disconnect your device from the internet and as long as its time is still correct, it will successfully generate correct 2FA codes. However, manual time settings and offline devices eventually slip out of sync.

If your device time is out of sync or if you have changed time zones, the best way to fix it is to change the time settings on your device from “Manual” to “Automatic”. If it is already set to ‘Automatic’ toggle it off and back on and the restart the device to re-sync the app.

How to update the time on your device:

Android Samsung

Some devices settings may vary, if your device is not listed or the instructions do not match, please search online for your phone model and “update time and date”

 

3. Google Authenticator on some devices has it’s own internal clock. To set the correct time:

On your Android device, go to the main menu of the Google Authenticator app.

Tap More and then Settings and then Time correction for codes and then Sync now.

On the next screen, the app confirms the time has been synced. You should be able to sign in. The sync will only affect the internal time of your Google Authenticator app, and will not change your device’s Date & Time settings.
